Privacy Policy

This policy explains what personal information Vaelolab collects, why, and what we do with it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. What we collect

• Contact details: your name, email address and business name, when you email us, fill in a form, join a waitlist or place an order.
• Business Health Report answers: the links and answers you give in the questionnaire, such as your website, Google profile, social pages, customers, goals and budget range.
• Public information about your business: to write your report we look at what any customer can see, such as your Google profile, reviews, website and social pages. We never ask for passwords or access to your accounts.
• Video ad briefs and files: product images, links, logos, footage and instructions you send for an ad.
• Payment details: payments are handled by Stripe. We see your name, email, the amount and the order, but never your full card number.
• Basic technical data: our website is hosted on Cloudflare, which processes standard information such as IP addresses to deliver and protect the site.
• Newsletter sign ups: your email address, the page you signed up on and your consent, only if you tick the box to join the newsletter.
• Things that stay in your browser: site search, the budget calculator and the health check run in your browser. What you type into them is not sent to us.

2. How we use it

• To prepare and deliver your report, video ad or other order, and handle revisions
• To process payments and refunds, and keep records required by tax law
• To reply to your questions
• To email you when a product you joined the waitlist for is ready
• To send the newsletter, only if you asked to receive it

We do not sell your information, and we only send marketing email to people who asked for it, with an unsubscribe option in every message.

3. AI tools and your information

We use AI tools to help produce our work. Video footage is generated by AI tools, and AI writing tools may help us organize findings and draft parts of your Business Health Report. A person reviews everything before it reaches you. We send these tools only what is needed for your order.

We never use your files or answers to train AI models.

If your files include photos of real people, please make sure those people have agreed to appear in an ad.

4. Service providers

We use a small number of providers to run the business: Stripe (payments), Formspree (website forms), Cloudflare (website hosting, email routing and video delivery), Google (email) and AI tools (video generation and writing assistance). Some of them store data outside Canada, including in the United States, where it may be accessible to authorities under local law.

Links to other websites. Our guides and tool pages link to other companies. When you follow a link, their privacy policies apply. We do not currently use affiliate tracking links; if we start, those links will be labelled and our disclosure page updated.

Analytics. We do not currently run website analytics, advertising pixels or tracking cookies. If we add analytics, we will update this policy before it goes live.

5. How long we keep it

We delete video source files within 90 days of final delivery, unless you ask us to keep them for future orders. Questionnaire answers and reports are kept for 12 months so we can answer follow up questions, then deleted. Order and payment records are kept as long as Canadian tax law requires.

6. Your choices

You can ask us to show you the personal information we hold about you, correct it, or delete it, subject to legal record keeping. Email hello@vaelolab.com and we will reply within 30 days.

If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

7. Changes

If we change this policy, we will update the date at the top of this page.
