Why a calendar removes the hard part
The hardest part of social media for a small business owner is not taking the photo. It is deciding what to post, every single day. A calendar makes that decision once a month instead of thirty times.
The plan below uses a weekly rhythm of themes. You post three to four days a week and fill the rest with stories when something happens. Swap days to suit your business.
The weekly rhythm
| Day | Theme | Example |
|---|---|---|
| Monday | Show the work | This week's best plate, haircut or finished job |
| Tuesday | Stories only | Behind the scenes as you work |
| Wednesday | Helpful tip | One thing customers often ask you |
| Thursday | Stories only | A quick poll or question |
| Friday | Offer or reason to visit | Weekend special, new arrival, open slots |
| Saturday | People | A team member, a regular (with permission), a thank you |
| Sunday | Rest or proof | Share a review and say thanks |
Thirty days, ready to use
Week 1, introduce yourself. Day 1: who you are and what you do, in one photo and three lines. Day 3: your most popular product or service and why people love it. Day 5: where to find you and your hours. Day 6: meet the owner.
Week 2, show expertise. Day 8: a before and after. Day 10: the most common mistake customers make, and how to avoid it. Day 12: an offer or a quiet day booking nudge. Day 13: a review with a thank you.
Week 3, build trust. Day 15: how you do one thing differently. Day 17: answer a frequently asked question. Day 19: something new or seasonal. Day 20: a team spotlight.
Week 4, ask for action. Day 22: a process video of 15 seconds. Day 24: a tip that saves customers time or money. Day 26: a clear invitation to book or order with the link. Day 27: celebrate a milestone or say thank you to regulars.
Days 29 and 30. Repost your best performing post of the month with a fresh caption, then plan next month.
Examples by type of business
- Café: the morning bake, the barista's favourite drink, a quiet corner to work, the weekend pastry special.
- Salon: colour before and after, how to keep a blow dry for three days, the stylist of the week, last minute openings.
- Clinic: what happens at a first visit, a desk stretch, meet the practitioner, how direct billing works.
- Home services: the move out checklist, a satisfying clean timelapse, seasonal maintenance reminders, how quotes work.
Make it sustainable
Batch the month in one sitting. Take photos as you work throughout the week, write captions together, and schedule with the free tools inside Instagram and Facebook. If writing captions is the bottleneck, read our 40 caption ideas sorted by goal. We are also building ready made template packs by type of business that include a full month of captions.
